Executive Assistant - Tennessee Disability Coalition
Part-time / Approximately 30 hours per week: Salary: $30-36 K Depending on Experience

Job Function:
Performs a wide range of administrative duties and executive support related tasks. Responsibilities may include scheduling, making travel and meeting arrangements, preparing reports and publications. Requires strong organizational and computer skills The job also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Qualifications:
· Prior experience supporting at the executive level
· Bachelor’s degree or equivalent experience
· Excellent written and verbal communication skills
· Ability to stay focused, efficient, and effective in managing multiple priorities
· Professional demeanor
· Strong interpersonal skills and good judgment
· Proven ability to work independently to achieve accomplishments
· Ability to communicate effectively with all levels of employees and outside contacts
· Highly collaborative style
· Highly proficient in software programs: Word/Excel/PowerPoint, databases
PRINCIPLE DUTIES:
Priorities
· Relieve management of administrative detail, all projects
· Develop and implement office procedures related to coordination of interoffice communication, records and projects.
· Update and chase delegated tasks to ensure progress to deadlines
· Keep projects on schedule
· Assist in production of Coalition communications.
Communication
· Compose correspondence/reports for own or manager’s signature
· Create diverse documents for executive correspondence, memos
· Research, review, validate, and analyze diverse information for applicable facts in order to produce reports or presentations
· Review, edit and type documents prepared by others
· Check deadlines on incoming requests and put preliminary work into play
· Process replies on own initiative or from dictation or notes
· Research, draft or abstract reports
· Do phone surveys/inquiries as needed
Appointments/Meetings
· Calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of situations
· Prepare agenda in advance
· Arrange meeting facilities
· Act as recording secretary; prepare action minutes
Projects
· Handle administrative detail on assigned projects
· Study and recommend procedures to improve project management
· Produce document abstracts for pertinent, accurate and concise project information and reports.
· Work closely with the communications coordinator to launch hard copy or email campaigns and other communications
Travel
· Schedule travel arrangements including air, ground transportation and hotel accommodations
· Prepare itinerary, trip file and supplies
Data Management
· Improve/tighten storage/retrieval systems
· Implement methodology for updating and maintaining data
· Creating and maintaining electronic and physical files
